Personal data we process
Ibiza Padel Academy S.L. processes your personal data when you use our services or provide it to us directly. We process the following personal data: first and last name, gender, date of birth, address details, phone number, email address, location data and bank account number.
Special or sensitive personal data
Our website and services do not intend to collect data from visitors under the age of 16 without parental consent. However, we cannot verify whether a visitor is over 16. We encourage parents to be involved in their children’s online activities to prevent the collection of data from minors without parental consent. If you believe that we have collected personal data from a minor without such consent, please contact us at info@ibizapadelacademy.com, and we will delete this information.
Why we process your data, and on what basis
Ibiza Padel Academy S.L. processes your personal data to handle your booking, lesson request and payment (basis: performance of our agreement with you), to answer your questions through our website chat, WhatsApp, Instagram and Messenger (basis: legitimate interest, or our agreement when it concerns an existing booking), to send our newsletter, promotional material and personalised offers (basis: your consent, which you can withdraw at any time), to improve our website, services and communication (basis: legitimate interest), and to meet legal obligations such as tax and accounting rules (basis: legal obligation).
AI and automated assistance
We use an AI assistant to answer questions quickly on our website, on WhatsApp and in Instagram and Messenger conversations. When you use it, the messages you send, the language you write in and, where applicable, your phone number and the details you share are processed to give you an answer and to guide you to the right page, coach or booking.
To generate those answers we use an external AI provider (Anthropic). Your messages are processed only to answer you. We have agreed with our AI provider that your messages are not used to train their AI models. Conversations are kept for a limited time, currently up to 30 days, so a conversation can be picked up again where it stopped, after which they are removed.
The assistant informs and guides you, it does not decide about you. A booking, a confirmation by a coach or a payment always requires an action by you or by one of our people. You can always ask for a human instead of the assistant, either by saying so in the conversation or by emailing info@ibizapadelacademy.com.
Automated decision-making
Ibiza Padel Academy S.L. does not make decisions based solely on automated processing that may have significant effects on individuals. Our automated flows, such as routing a lesson request to a suitable coach, always keep a person in the loop before anything is confirmed.
Marketing and automation
We use a CRM system to keep our contact with you relevant. In it we may record which lessons, trips or events you are interested in, the language you prefer, whether you live on Ibiza or are visiting, and through which channel you reached us, for example our website, WhatsApp or Instagram. We use this to tailor our messages instead of sending everyone the same thing. This is profiling within the meaning of the GDPR, but it has no legal or similarly significant consequences for you.
We only send commercial messages, by email or WhatsApp, if you have opted in to receive them. Every message includes a way to unsubscribe, and on WhatsApp you can simply reply that you no longer wish to receive messages. Service messages about a booking you made, such as a confirmation or a change, are part of our agreement with you and are not marketing.
How long we keep your data
Ibiza Padel Academy S.L. does not store your personal data longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods.
All personal data we need to keep you actively participating in padel activities remains actively available in our database as long as your profile is updated. This happens every time you or we take an action on your profile, for example taking a new lesson or participating in a tournament or other padel event.
Certain data may be kept for a period of two years after the end of the relationship between the organisation and the player, to recognise the former customer and keep them informed about our new products and promotions, unless the customer indicates that they do not agree to this.
Sharing with third parties
Ibiza Padel Academy S.L. shares your personal data with third parties only when this is necessary to fulfil an agreement or to comply with a legal obligation. We enter into data processing agreements with companies that handle your data on our behalf, to ensure the same level of security and confidentiality. Ibiza Padel Academy S.L. remains responsible for these processing activities. We only share your personal data with other third parties with your explicit consent.
The parties that process data on our behalf are: Anthropic (the AI assistant), Twilio and Meta Platforms (WhatsApp, Instagram and Messenger conversations), HubSpot (our CRM and email), Mollie (payments), Resend (transactional email), Google (website statistics) and Cloudflare (hosting and security of our website).
Some of these parties are based outside the European Economic Area, mainly in the United States. Where that is the case, the transfer takes place on the basis of an adequacy decision of the European Commission, such as the EU-US Data Privacy Framework for certified companies, or on the basis of the European Commission’s standard contractual clauses, so that your data keeps an equivalent level of protection.
Cookies and similar technologies
Ibiza Padel Academy S.L. uses functional, analytical and tracking cookies. A cookie is a small text file stored in your browser on your computer, tablet or smartphone during your first visit to our website. We use cookies for purely technical functionality, to ensure the website works properly and to remember your preferences, and to optimise the website’s performance. We also use cookies to track your browsing behaviour, allowing us to offer tailored content and advertisements.
For statistics we use Google Analytics, and for measuring and improving our advertisements we use the Meta pixel (Facebook and Instagram). These are only placed once you have given consent for them; without consent no analytical or marketing cookies are set. For the Meta pixel we act as joint controller with Meta Platforms Ireland for collecting and passing on this data, on the basis of a joint controller arrangement with Meta.
You are informed about these cookies and asked for your consent on your first visit to our website. You can change or withdraw your choice at any time through the cookie settings on our website. You can also opt out of cookies by setting your browser not to store them, and delete any previously stored information through your browser settings.
Your rights
You have the right to access, correct or delete your personal data. You also have the right to withdraw your consent for data processing or to object to the processing of your personal data, and the right to data portability, meaning you can ask us to transfer the personal data we hold about you to you or another organisation you name.
To exercise these rights, or if you have any questions or comments about our data processing, send a detailed request to info@ibizapadelacademy.com. To make sure the request comes from you, please send it from the email address you used for your booking. If we have reasonable doubt about your identity, we may ask you to confirm details of a recent booking. We do not ask for a copy of your identity document. We will respond as soon as possible, and no later than within four weeks. If you believe we are not handling your data properly, you also have the right to lodge a complaint with the Spanish Data Protection Agency (AEPD, www.aepd.es) or with the data protection authority in your own country.
Security
Ibiza Padel Academy S.L. takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised alteration.
